Well Life Medicine

Quick guide

Using Session Recorder

Everything you need is on this page. Most people never need more than the first two sections: set it up once, then glance at the icon now and then.

Setting up

Everything you need is on the setup page: a setup file for Mac and one for Windows, both already containing the practice’s enrollment code. You need the computer’s administrator password once, and nothing else.

  1. Download and open the setup file for your computer from the setup page. If Chrome holds the download because the file is new and not commonly downloaded, open Chrome’s downloads panel, click the file, and choose Keep or Download anyway. On a Mac, click Continue and Install and enter your password. On Windows, answer Yes when asked to allow changes; if a blue “protected your PC” screen appears first, click More info and then Run anyway. Neither adds anything to your list of installed apps.
  2. Quit Chrome completely and open it again. On a Mac that is ⌘ Q. On Windows, close every window, and if Chrome is still in the system tray, right-click it and choose Exit.
  3. Wait a minute or two. Chrome connects to Well Life, installs Session Recorder, and pins its icon next to the address bar on its own.

You don’t need to sign in, change any settings, or click anything in Chrome. Recording starts on its own, including in EMR tabs you open later. Setup applies to every Chrome profile on that computer, so it only has to be done once per computer.

Checking that setup took

Two signs, either is enough:

  • The Session Recorder icon is pinned next to Chrome’s address bar.
  • Chrome’s menu (the three dots) ends with Managed by welllifemedicine.com. You can also type chrome://management into the address bar to see it.

If neither has appeared after a few minutes, the usual causes are simple:

  • Chrome wasn’t fully quit. Closing windows is not enough. Quit it completely as described above and open it again.
  • Windows: Chrome was installed for one user only. Type chrome://version into the address bar and look at Executable Path. It should start with C:\Program Files. If it starts with C:\Users, Chrome cannot be managed. Install Chrome again from google.com/chrome, choosing the option for all users, then repeat setup.
  • Chrome is already managed by someone else. If chrome://management names a different organization, your practice’s IT already manages Chrome. A browser can only be managed by one organization, so ask your IT contact to use the administrator instructions instead.
  • The setup file could not be run. If your practice blocks downloaded programs, the setup page has a “Set up without the setup file” section with a one-line command for Mac and a registry file for Windows that place the enrollment code by hand.

Still nothing? Email us using the contact at the bottom of this page and say what chrome://management shows.

Reading the icon

The icon next to the address bar changes with what the recorder is doing in the tab you are looking at. Hover over it for a one-line explanation.

  • REC
Recording this tabThis tab is an EMR page and is being recorded.
  • ON
Enabled, waiting for an EMR pageRecording is on, but this tab is not an EMR page, so nothing is captured here.
  • OFF
PausedYou paused recording. Nothing is captured in any tab until you resume.
  • ERR
Recording unavailableMost often a login or password page, which is never recorded. See If you see ERR.

Pausing and resuming

You can pause at any time, for example before opening something you would rather not have recorded.

  1. Click the Session Recorder icon. A small panel opens.
  2. Click Pause recording. The icon changes to OFF in every tab and nothing is captured.
  3. When you are ready, click the icon again and choose Resume recording. Any EMR tabs that are open start recording again.

Pausing sticks: if you close Chrome while paused, it stays paused until you resume. The panel also shows a “Capture domains” box. Leave it as it is unless Well Life asks you to change it.

Checking that it works

Open any page in your EMR and look at the icon. It should show REC with a red dot. Switch to a different website and it should change to ON. That is all the confirmation you need.

Click the icon to see a one-line status for the current tab, such as “This tab has an active recording session” or “This tab is not recording: Login, authentication and password pages are excluded.”

If you see ERR

ERR means the recorder cannot capture the current page. The usual reasons are ordinary and clear on their own:

  • The page has a password field or is a sign-in page. These are never recorded by design.
  • Chrome briefly could not take a screenshot, for example while the page was still loading.

Move to another page in the EMR, or switch away from the tab and back. The icon should return to REC. If it stays on ERR across normal EMR pages, let us know using the contact below. Nothing you do in the EMR is affected either way.

When the pilot ends

Well Life removes Session Recorder and releases Chrome from management remotely. You do not need to do anything. The next time Chrome starts after that, the icon is gone and the Managed by welllifemedicine.com notice no longer appears.

Setup also left a small cleanup job on the computer. It runs for a moment at startup and every six hours, never connects to the internet, and only checks whether Chrome has recorded that Well Life released the computer. Within a few hours of that it deletes the enrollment code, Chrome’s connection record, and itself, so nothing from the pilot remains. On a Mac the job is a launchd item named com.welllifemedicine.session-recorder-cleanup; on Windows it is a scheduled task named “Well Life Session Recorder Cleanup”.

Because Well Life installs the extension through Chrome’s management, Chrome does not offer a Remove from Chrome option for it while the pilot is running. If you want recording to stop right now, pause it; that takes effect immediately in every tab. If you want the extension gone before the pilot ends, email us and we will remove it remotely, usually within a few hours.

Any recordings that had not finished uploading when the extension is removed are discarded with it. Recordings already received by Well Life are unaffected.

Leaving on your own. You can also disconnect a computer yourself at any time, without waiting for Well Life, by running the cleanup job by hand as an administrator. On a Mac, in Terminal: sudo sh "/Library/Application Support/Well Life Medicine/Session Recorder Enrollment/cleanup.sh" --force. On Windows, in an administrator PowerShell: powershell -ExecutionPolicy Bypass -File "C:\Program Files\Well Life Medicine\Session Recorder Enrollment\cleanup.ps1" -Force. Either one deletes the enrollment code, Chrome’s connection record and the cleanup job immediately; Chrome drops the extension the next time it starts. If the code was placed by hand rather than by the setup file, delete it with sudo rm /Library/Google/Chrome/CloudManagementEnrollmentToken on a Mac, or, as an administrator on Windows, reg delete "HKLM\SOFTWARE\Policies\Google\Chrome" /v CloudManagementEnrollmentToken /f.
